How FrontDeskHQ collects, uses and protects personal information.

FrontDeskHQ is operated by Dr Aiman Farogh Anjum, a sole practitioner based in Pakistan, providing advisory and software services to healthcare practices internationally. This policy explains what information this website and this business collect, why, and what you can ask us to do about it.

An important distinction. This policy covers information collected through this website and in the course of our business relationships. It does not cover patient information handled by systems we build for a client practice. In those deployments the practice is the data controller, the patient information stays in systems the practice owns, and the practice's own privacy policy governs it. We do not receive, download or retain patient records.

1. What we collect

When you contact us or book a call. Your name, email address, phone number if you provide one, your organisation, and whatever you choose to tell us about your practice or enquiry. Bookings are made through a third party scheduling service and land in our business calendar.

When you use the assistant on this site. The conversation you have with our demonstration assistant, including any contact details you choose to give it. Please do not enter patient information, clinical details, or any other sensitive personal information into the demonstration assistant. It is a sales demonstration, not a clinical tool.

When you use the calculator. The figures you enter run in your own browser to produce an estimate. We do not receive or store them.

Automatically. Our hosting provider records standard technical information such as IP address, browser type and pages requested, for security and to keep the site running.

2. Why we use it

To respond to your enquiry and arrange and hold calls with you.
To provide services you have engaged us for, and to invoice for them.
To keep records of our business dealings, as any business must.
To keep this website secure and working.

We do not sell personal information. We do not share it with anyone for their own marketing. We do not use it to train any AI model.

3. Who else is involved

We use a small number of established service providers to run this business. They process information only to provide their service to us:

Website hosting and content delivery
Scheduling and calendar services, to arrange calls
Business email
The provider behind the demonstration assistant on this site
A customer record system, for keeping track of enquiries and clients
Web font delivery

Some of these providers are located outside your country, including in the United States. Where we deploy systems for a client practice, we select the hosting region deliberately, and for Australian healthcare clients that means Australian regions.

4. How long we keep it

Enquiries that do not become client relationships are kept for up to twenty four months, then deleted. Records relating to actual client engagements are kept for as long as we work together and afterwards for as long as we are required to keep business and tax records. Demonstration assistant conversations are kept only briefly and are not used for any purpose other than improving how the demonstration works.

5. Your choices

You can ask us to tell you what personal information we hold about you, correct it if it is wrong, delete it, send you a copy, or stop using it for a particular purpose. Email hello@getfrontdeskhq.com and we will respond within thirty days. There is no charge.

Depending on where you live, you may also have the right to complain to a privacy regulator. If something has gone wrong we would rather you told us first, so we can put it right.

6. Cookies and similar technologies

This site uses only what it needs to function, such as remembering whether you have chosen light or dark mode, and whatever the embedded scheduling and assistant tools set in order to work. We do not run advertising trackers on this site.

7. Security

This site is served over an encrypted connection. Access to our accounts is protected, and information is shared internally only where there is a reason to. No system is perfectly secure, and we do not claim otherwise. If a breach occurred that was likely to cause you serious harm, we would tell you and the relevant regulator.

8. Children

This website is intended for businesses and healthcare practices. It is not directed at children and we do not knowingly collect information from them.

9. Changes to this policy

If this policy changes we will update this page and change the date at the top. If a change is significant, we will say so.
